How to book your consulting sessions with one booking link

7 min read
One link for your sessions, and far fewer messages to agree on a time.

If you sell consulting, much of your time goes to what surrounds the session. The email asking whether Thursday works for you, the reply proposing another hour, the message confirming the time zone because your client is in Madrid and you are in Lima. One appointment can cost four messages before it starts.

Think of a typical case. A client in Madrid wants a 60-minute session next week. You are in Lima. Today that is two or three messages to find a slot, another to confirm the hour and one more to work out what time it is in each place. With a link, that client arrives, sees your openings with the time zone stated and books.

This guide is for anyone who sells 30- and 60-minute video sessions on their own, and today agrees every hour by email or WhatsApp. By the end you will have five moves so your client picks a slot alone, from one link, and so each session arrives with its video link.

Each move ends with what Reserrva does at that point, in case you want to check it in your panel. If you do not have an account yet, sign in with your email, and the full list of what the platform does is on the features page.

1 · Name and price your sessions

A session with no name or price gets negotiated in every message. List it the way you sell it: "30-min call" and "60-min session" are a good starting point. Start with the durations you sell most. Two or three options are usually enough: fewer options, fewer questions.

A free call to get to know whoever writes to you is one more service, with the price "Free". Your client sees it next to the others and chooses without asking you.

Also think about the time you need between sessions to take notes. An empty gap is still bookable: set it as the service's buffer time, or as a break in your hours, and nobody can book over it.

In Reserrva: the service catalog stores the duration, the price (or "Free") and the buffer time of each service. Step 5 of the setup guide asks for the name, duration and price; buffer time is added later in Services, inside each service's options. Changing a price later does not touch the sessions already booked.

2 · Work online, no address

If your sessions happen by video call, there is no place your client has to go. Asking for an address in the booking creates questions that do not matter, and you ask for a detail you will never use. Choose the online mode and ask only for what you need: an email. Whoever books gives their name and email, and does not have to create an account.

When someone asks where the meeting will be, the answer is the same for everyone: the video link appears in their confirmation. You no longer have to type it by hand in every conversation.

In Reserrva: the online mode, by video call, asks for no address. Whoever books confirms with their name and email, with no sign-up. Your business chooses where it works, and your page shows that to whoever books.

Every "does Thursday at five work for you?" makes your client answer and makes you check your calendar again. A link reverses the order. Your client opens it, sees your services, picks a slot you really have free and books. You only share it: in your introduction email, your signature, the bio on your social profiles.

Put the link wherever people ask you today. Each time someone writes to book a session, the answer is the link, and your client arrives already knowing which service they want.

In Reserrva: your booking page, in the form reserrva.app/en/b/your-business, has your services and your slots. It is the link you put anywhere you now write "message me to book"; for a short one, reserrva.app/con/your-handle opens the same page.

4 · Connect your Google so the agenda tells the truth

A link that offers an hour you already have taken, by another client, a meeting or a personal appointment, leaves you apologising for it. Connect your Google account and the page stops offering what is already in your primary calendar. Put your fixed commitments there, or mark them as a break or time off in your hours, so they do not show up either.

Check once that the connected account is the one you use for your meetings. Anything in another calendar is not subtracted, so if you keep your commitments in a different agenda, move them to your primary calendar.

Each video session also gets its Google Meet link after booking. It does not appear in the same second: it can take a moment to show in the confirmation, so do not assume it is there at once.

In Reserrva: each professional connects their own Google account from the panel. Availability subtracts the busy hours of their primary calendar and, for every video-call booking, creates the Meet link. If you do not have a page yet, start with the setup guide.

5 · Let them pick the time in their zone

Madrid and Lima do not share a clock, and the difference changes twice a year, when Madrid changes its time. A Thursday at ten in the morning in Lima is five in the afternoon in Madrid in summer, and four in the afternoon in winter. That is why you should not work it out from memory. If you agree every hour by message, sooner or later someone arrives an hour early or an hour late.

Let the page say which time zone the hours are in. When your client opens the link, they see the zone next to the openings and pick the one that suits them without working anything out from memory. Whoever books sees the confirmation on screen. For video sessions, a confirmation email also reaches them.

In Reserrva: the booking page states which time zone its hours are in, already net of your hours, your time off, your booked appointments and the buffer time. The confirmation appears when they book and, for video calls, also arrives by email.

  • Each session has a name, a duration and a price, or is marked "Free".
  • The mode is online and your page asks for no address.
  • Your hours, breaks and time off are up to date.
  • Your Google account is connected and your busy hours no longer appear as openings.
  • You made a test booking from another device and cancelled it from the link in its confirmation.

A test booking is a real appointment and it takes a slot. Cancel it when you finish.
