How to get fewer no-shows without chasing anyone

6 min read
Five changes to your schedule. None of them makes you message anyone at night.

A no-show without notice costs a full hour, and nobody gives it back. If you lose two or three hours a week to people who do not turn up, it is rarely bad faith. Something else usually happens: the booking did not make clear what had been reserved, cancelling cost more than not showing up, or the empty slot went unfilled because nobody knew who to offer it to.

This guide is for anyone who works by appointment and is tired of confirming every booking by message. There are five moves. None of them asks you to chase anyone. Each one does one of three things: makes the appointment firm from the start, turns a change into a free slot instead of silence, or shows you who keeps repeating and which days fail most.

At the end you will have a checklist to review your schedule in ten minutes.

1 · Make the booking the confirmation

Someone who books and sees nothing on screen is left wondering. If the confirmation appears straight away, with the service, the time and your name, the appointment is settled before the person leaves the page. That moment matters more than it seems: an appointment that only exists in a message thread is easy to forget.

Before you ask someone to show up, let them see everything they need. That includes the format: if you work at a venue, the address; if you go to their place, the area; if it is a video call, they should know it from the page. For video-call appointments, a confirmation email also arrives, and the confirmation offers an add-to-calendar option when no Google invitation is sent. The time lands in their calendar without you having to write to them.

In Reserrva: Confirmation on booking shows the confirmation on screen, with a link to manage the appointment. The page only offers real openings: hours, time off, booked appointments and buffer time. What your client confirms is what is actually free. To see the full list of features, read features. If you want to see how a booking is confirmed in a barbershop, this article covers it.

2 · A cancellation limit

When cancelling costs more than not showing up, people do not cancel; they simply stay home. That is why a cancellation limit is not a punishment but a correct way out. Set a clear deadline before the appointment, the one that works for you, and apply it the same way to everyone. If the limit changes depending on who asks, nobody knows what to expect.

Someone who cannot come needs to be able to change without speaking to you. A change in time is a slot you can offer again; a no-show is an hour lost. That is why the link in the confirmation matters so much: it lets people cancel without writing or looking for your number.

If your studio does tattoos, the deposit your client pays through Stripe after accepting the quote and choosing a time also works as a commitment, but only in Stripe Connect countries, on the plan that includes it and with the studio's Stripe account connected and active.

In Reserrva: Cancellation by the client lets people cancel from the link in their confirmation, up to the limit you set. Whoever books does not need to create an account. 3 · A waiting list without a notebook

When the day is full, someone who wanted to come goes away. And when someone cancels, the slot stays empty because nobody knows who to tell. Today that usually ends up in a notebook or a group chat you have to keep checking, and on the day you do not check it, the hour is lost.

A full day is also a signal: there is demand. If the person can leave their contact and ask to be told when an hour opens, the list builds itself and you do not have to carry it. Someone waiting has already decided they want to come.

In Reserrva: Alert when a slot frees up appears when the day is full. The person leaves their contact and gets the notice if an hour opens.

4 · Minimum notice

Some bookings are made at the last minute for that same afternoon and leave no time to prepare the appointment. Minimum notice cuts off that kind of booking: slots that are too close are not offered, and whoever really wants to come plans a little ahead. Choose a period that covers what you need to prepare each appointment, not so long that it closes your schedule to people who book as usual.

Minimum notice works best with hours that are set properly. If your real hours do not match what is offered, people get confused and stop trusting the page, so check your hours before you set any notice period.

In Reserrva: the booking page respects your minimum notice together with your hours, your time off and the appointments already booked. If you have not created your page yet, the setup guide walks you through the settings.

5 · Mark every no-show

A no-show that is not recorded is forgotten. A recorded one can be acted on. Visits become completed automatically after their reserved time, including any cleanup buffer, has passed. Cancelled appointments, no-shows and bookings still awaiting a deposit keep their status. Review the exceptions: if someone did not attend, record a no-show. If the visit already completed automatically, use Return to confirmed, then mark it No-show or cancel it. You can correct an automatic completion after midnight too, unless the client has reviewed it. After a few weeks of data you will see which days and which kinds of appointment fail most.

Look at the pattern, not the single case. One isolated no-show, with notice or without it, does not say much. Several in a short time from the same person deserve a calm conversation before the next booking. Each client's card shows their history and your notes, so you decide with judgement: who deserves a longer deadline, which time slot is worth closing, and when a conversation is needed.

If you work with a team, each no-show belongs to one specific person, and the team agenda shows everyone's day in one place. If the problem goes beyond one person, this article covers it.

In Reserrva: visits complete automatically, while you record or correct no-shows and cancellations. The stats use those states: no-shows appear per day for owners and admins. The Clients list shows each person's appointment history and your private notes.

  • The confirmation on screen shows the service, the time and your name.
  • You have a cancellation limit you can explain in one sentence, and you apply it the same way to everyone.
  • Your minimum notice covers what you need to prepare each appointment.
  • Completed visits are automatic; no-shows and cancellations are recorded or corrected.
  • You review no-shows once a month and decide one concrete change if needed.
