How to take bookings without ten messages back and forth

6 min read
Five moves so your day does not go to answering “any openings Thursday?”.

If every booking starts with “do you have anything on Thursday?”, the problem is not your calendar. You are the only one who knows whether there is a free slot, and every answer goes through your hands: check the calendar, type out the free hours, wait for the client to choose, confirm, and remember to write the appointment down. Repeat that ten times a day over WhatsApp or Instagram and the admin work eats the time you need for the service itself.

This guide is for anyone who works by appointment and gets almost all of their bookings through messages. It does not ask you to stop talking to your clients. It suggests the conversation starts somewhere the services, prices and openings already are, and that you step in only when it is really needed.

Think about a normal week and count how many of those messages are questions your hours already answer. Those are the ones you can stop answering yourself.

At the end you will have five moves in place: one public page, one link for every question, bookings without an account, a confirmation that explains itself, and a limit for cancelling.

1 · One page with what you offer and what is free

The first thing a new client asks is how much it costs, how long it takes and whether they can come on Thursday. If those three answers sit in the same place, many messages disappear. Put your services on one public page, with duration and price, your professionals and your hours, and let the client pick a service, a person and a free time.

That way you change once what you now write every week. A new price updates on the page, and you no longer paste the list into every conversation.

Review the page the way a stranger would. If a duration or a price forces you to explain it in a message, change it on the page and stop explaining it.

In Reserrva: your booking page lives at reserrva.app/en/b/your-business and shows each service with its price (or “Free”) and its duration, your professionals, your hours, and whether you work at a venue, at the client's place or by video call. To create it, sign in at reserrva.app/login and follow the setup guide.

Your booking link answers every availability question. When someone writes “do you have a slot?”, do not check your calendar. Reply with the link and let them choose. Paste it in your WhatsApp reply, in your Instagram bio and in your email signature. Reserrva does not send WhatsApp messages for you: you share the link yourself, whenever you want.

If you work with a team, each person also has a personal link. A client who already knows who they want books directly with that person, and you stop being the middleman for every appointment. Put it in each person's bio, not only in the business profile.

A reply that works looks like this: “I have openings this week. Pick a service and a time on this link and you see the confirmation right away.” No back and forth.

In Reserrva: your booking page, reserrva.app/en/b/your-business, is the link you share. If your team grows, add each person from the panel and each one gets their own page to book with them. What each link includes is on the features page.

3 · Booking without creating an account

Every extra step sends the client back to the chat. If they have to create an account, download something or remember a password before booking, some of them will write to you instead of finishing. Ask only for what you need to confirm the appointment: their name and one contact.

The contact depends on how you work. At a venue, a phone number is enough. For a video call, an email, or both. Ask for the one you will really use, because every extra field is one more the client can leave blank.

In Reserrva: whoever books confirms with their name and the contact your business asks for, with no sign-up. Before you turn the page on, the setup guide takes you through the steps where you choose your activity, your way of working and your hours.

4 · A confirmation nobody has to ask about

The message “did it go through?” appears when the client has nothing in front of them. So the confirmation has to arrive at the moment they book, with what they need: the service, the day, the time and the name they booked under. If the appointment is a video call, an email is also worth sending, because it is what they keep for later.

When the confirmation offers to add the appointment to their calendar, use it. The time is then saved where the client looks every day.

Keep the same public name on the page, in the confirmation and in your bio. The client then has no doubt it is the same business and no reason to write and ask.

In Reserrva: the confirmation appears on screen when the booking is made, with the option to add the appointment to the calendar when no Google invitation is sent. Video-call appointments also send a confirmation email to whoever booked.

5 · Cancelling without writing to you

A good share of the messages in a week are cancellations: “hey, I can't make Tuesday.” If the client can cancel on their own from the link in their confirmation, those messages stop arriving. What you need is a clear limit: how late a client can cancel without it being a problem. You choose that deadline and say it once, clearly, to the clients you already have.

Before that limit, the client does not need to write to you. After it, the cancellation comes to you, and you can treat it as what it is: an exception.

A limit that holds from the start prevents more conversations than one you change every week.

In Reserrva: whoever booked cancels from the link in the confirmation, before the cancellation limit you set. It is handled there, not in a new chat thread.

  • Your page shows each service with its duration, its price or “Free”, and your real hours.
  • The link is in your WhatsApp reply, your Instagram bio and your email signature.
  • If you work with a team, each person has a personal link and shares it.
  • You ask only for the contact you will use: a phone number at a venue, an email for a video call.
  • The confirmation shows the service, the day and the time, and your clients know the cancellation limit.
