Book your coaching sessions without chasing anyone

If you run coaching sessions, you know the scene. Someone writes to ask whether you have a slot on Thursday, you check the calendar, you offer three times, they do not reply, and two days later they ask again. By the time you finally lock in the hour, you have already spent a good part of the session on logistics.
This guide is for people who work online, sell a 60-minute session and offer a shorter first call to get to know the person. If you spend more time agreeing on times than coaching, the decisions below will remove most of those messages.
By the end you will have made five decisions: how each service is named and priced, which link you share, how your online sessions connect to your calendar, how long a client has to cancel an appointment, and what happens when no slot is left.
One · Two services, not a free hour
A 30-minute first call tells you whether the person is a fit and what they need. A 60-minute session is the work itself. If you list them as two separate services, each with its own length and price, the person chooses without asking you the difference, and you do not have to explain it in every conversation.
Decide the price of the first call before you publish it. It can be free if you use it as a first step, or priced if it is already a guidance session. What matters is that each service says how long it lasts and what it includes.
In Reserrva: Services stores the name, the duration, the price or the Free option, and the buffer time of each service. The coach activity starts with a session and a 30-minute call, and online is already selected as the mode. Changes to the catalog never rewrite sessions that are already booked. If you do not have your page yet, the setup guide takes you through the services step.
Two · One link where people already find you
Every "I will write when I can" is one more conversation. A single link removes that part. Put it in your social media bio, in your email signature and in the message you send after a call. Anyone who wants to talk to you picks a time on their own, from the slots you have free.
A link does not replace a human answer. Use it for the question of when, and save your messages for what really needs your judgment. If you already have clients, send them the link once, in your next reply. From then on, each new conversation starts with choosing a time, not with asking you when.
In Reserrva: your booking page, in the form reserrva.app/en/b/your-business, is the link you paste in your bio and your signature. For a shorter one, choose a handle: reserrva.app/con/your-handle opens the same page. To create it, sign in with your email or Google and follow the setup guide.
Three · Your calendar decides which times are offered
An online session takes up your calendar just like an in-person one, but the booking page does not know that unless someone tells it. Without that, you offer slots you already have in another meeting, and then you have to explain. Connect your Google account so that the hours you already have busy stop being offered.
When someone books a video call, they receive a confirmation email and the session gets its Google Meet link. The link is created after the booking and may take a moment to appear, so wait until you see it in the confirmation before you forward it.
In Reserrva: the video call with Google Meet creates the link on every online booking, and availability subtracts the Google Calendar busy hours of the primary calendar of the account you connected. Each professional connects their own account from the panel. Until you do, the page only knows your hours and your appointments in Reserrva. The features list explains what each one does.
Four · A limit that protects the hour
A last-minute cancellation only hurts when the hour stays empty. Decide how many hours before the session your client can cancel it (for another time, they book again from your link), and say so before they book: in your first reply, in your welcome message or on your page. A written rule avoids a case-by-case discussion, because the person already knows what to expect.
A client who cancels with two days' notice costs you much less than one who cancels ten minutes before. The limit is not there to punish anyone. It makes cancelling the person's decision, not a negotiation with you. Write the limit in exact hours, for example up to 24 hours before. A phrase like "with enough notice" brings back the same discussion you wanted to avoid.
In Reserrva: Customer cancellation lets whoever booked cancel from the link in their confirmation, before the limit you set for your business. They do not need an account. A timely cancellation frees the hour so you can offer it again; if the person wants another time, they book it from your link.
Five · Alerts instead of a notebook
When your week is full, the person who wanted a slot gets no answer, or they write you every two days to ask whether anything has opened up. It is simpler to let them ask. Anyone who wants a time leaves their contact and gets an alert if a slot frees up.
An alert is not a promise. Getting one does not guarantee the time: the person still has to book it, like any other client. Also look at which days fill up first. If it is always the same day, that is the sign of where to open more hours.
If you only do one thing this week, create your two services and put your link in your bio. That stops you proposing times by hand, and the rest can wait.
In Reserrva: Alert when a slot frees up appears when the day is full. The person leaves their contact and gets the alert if an hour opens. You do not keep any list by hand.

Frequently asked questions
Do my clients need an account to book?
No. They book with their name and the contact you ask for, and they see the confirmation on screen.
Does Reserrva collect payment for sessions?
No. The page shows the price, but you and your client agree on payment between you. Clients never pay to book, there is no commission per booking, and Solo is free for one professional.
What if I do not connect Google?
The page offers the free times within your hours, excluding your Reserrva appointments and time off, but not what is in your Google calendar. You can connect it later from the panel.
