How to run a team's agenda better

6 min read
One team, one agenda, a day you can read at a glance.

If you run a salon, a clinic, a studio or a small consultancy with two to eight professionals, you probably coordinate the day through a group chat and a shared calendar. The problem is not a lack of tools. Everything lives in a different place: the slot someone promised by message, the walk-in written in a notebook, the absence nobody noted. By Saturday, nobody is sure who is working or which hour is free.

This guide is for whoever runs a team like that. By the end you will have five concrete moves that make the agenda the single source of truth, and a way to check each week that they hold.

1 · One agenda for the whole team, not one per person

One agenda per person looks tidy until you have to open eight of them to find out what happens on Thursday at four. Put the whole team in one view. The day reads on a shared timeline, with the team's appointments arranged in lanes where they overlap, each marked with its professional's initials, so you see at a glance where there are gaps and where things overlap. Look at the week when you plan, and at the day when you are at the front desk. When whoever manages the business looks at one agenda (each professional sees their own), you stop asking the group who is working on Saturday.

In Reserrva: the team agenda shows the day on one timeline, with the whole team's appointments in lanes and each professional's initials, and it offers a week view. It updates on its own when a booking comes in. Invite each person with their own access, by email or link, as an admin or a professional: the owner is whoever created the business. If you have not set up the page yet, the setup guide explains how to add people to the team.

2 · Hours and time off per person

The general hours of the business do not fit everyone. Whoever opens at eight does not work the same shift as whoever closes, and one person's holiday should not block the rest. Give each professional their own weekly hours, breaks and time off. That way the openings you offer on your booking page are that person's real openings, and nobody has to correct a schedule by hand every week. Before you publish the week, check the time off: a holiday that is not entered is an opening someone can book.

In Reserrva: each professional has their own weekly hours, breaks and time off, and the booking page respects them immediately. For the business's starting hours, step 3 of the setup guide asks where and when you work.

3 · Let the client pick the person

Some clients want someone in particular. Let them choose. When the client picks the service, the professional, the day and the hour, the page shows only that person's openings, and the client does not have to call to ask who is free. It also saves the back-and-forth that today happens in the chat.

In Reserrva: the booking page asks for service, professional, day and hour. With real openings only, the page shows just what is left free after the professional's hours and time off, their booked appointments, the minimum notice and the buffer time.

4 · Walk-ins in the same agenda

Someone who calls or walks in is as much a client as someone who books online. If their appointment lives in a notebook, the slot looks free and you end up offering it to someone else. Write it into the agenda right away, in the same slot a client would see online. That way the day has one version of the truth.

In Reserrva: manual appointments from the panel are for whoever calls or walks in, and they take the slot just like an online booking. A database constraint rejects two appointments for the same professional at the same time, wherever they come from. Try it: ask someone on the team to write a walk-in into the agenda right now, and check that the time can no longer be booked from your page. If it still can, something is not being recorded.

5 · The status of every appointment

Visits become completed automatically after their reserved time, including any cleanup buffer, has passed. Cancelled appointments, no-shows and bookings still awaiting a deposit keep their status. Review the exceptions: if someone did not attend, record a no-show. If the visit already completed automatically, use Return to confirmed, then mark it No-show or cancel it. You can correct an automatic completion after midnight too, unless the client has reviewed it.

In Reserrva: Visits complete automatically after their reserved time; record no-shows and cancellations so the stats reflect what happened. The business stats (appointments, no-shows and estimated revenue per day) are visible only to the owner and admins.

Start with moves 1 and 4: one shared agenda with walk-ins inside it is what takes the coordination out of the chat. Moves 2 and 5 take longer, but they are what make the week reliable. • Every professional has their weekly hours, breaks and time off entered.
  • Every person on the team signs in with their own access, not with your account.
  • Today's walk-ins are in the agenda before the day ends.
  • Completed visits are automatic; no-shows and cancellations are recorded or corrected.
  • Every Monday you review the week: openings, absences and attendance corrections.

Frequently asked questions

What happens if two people try to book the same slot at once?

A database constraint rejects the second appointment for the same professional at that hour, wherever it comes from. Two appointments never overlap.

How do I invite my team?

By email or by link, as an admin or a professional. The owner is whoever created the business, so nobody is ever invited as an owner.

What if I work in two businesses?

One person can belong to several businesses and switch between them from the panel, with their own access.

Who sees the stats?

Only the owner and admins. The stats are computed from the statuses you set on each appointment.
